Venues

  • We liaise with all destinations and venues, booking for every aspect of the event.

Coordinating outside suppliers, including:

  • AV company
  • Exhibition display company
  • Graphic design and printers
  • Catering companies
  • Accommodation providers
  • Support staff; paid and volunteers
  • Transport companies
  • Theming companies

Financial management

  • Preparation and management of the budget process in coordination with each client
  • Manage dedicated bank account to coordinate incoming and outgoing cash flow
  • Income from sponsorship, registrations and function tickets
  • GST reconciliations and returns and correspondence with IRD on behalf of clients
  • Final actual to budget accounts and take to audit level

Programme & speaker management

  • Review of programme
  • Speaker profiles and photos, topic summaries and abstract management
  • AV requirements for their presentations

Sponsors

  • Setting sponsorship packages and all communication
  • Supply information to all related parties

Attendees

  • VIP Management including Board members, Fellows, Life Members, sponsors and speakers
  • Registration management for both delegates and sponsors

Conference collateral

  • Working with our in-house design team collating all materials for the conference satchel, name badges and lanyards
  • Collation and supply of material for conference and printing of tickets and name badges

Health and safety – ensure compliance by all parties including:

  • Venues
  • Suppliers
  • Sponsors
  • Staff (including volunteers)

On-site management, registration and assistance including:

  • Greeting VIPs, speakers, sponsors and delegates
  • Distributing conference material
  • Liaising with parties onsite to include venues, sponsors and external suppliers
  • Managing onsite staff and volunteers
